Morning preparation

MORNING PREPARATION - SITE DIRECTOR

  1. Site Director will unlock the facility, open entry doors, unlock all program/staff spaces, and disinfect interior and exterior door handles and membership desk keyboard. Site Director will take their own temperature and record the reading on the daily chart.

  2. Disinfect all staff walkie talkies and tablets and line them up at the membership desk

  3. Turn on all lights and set up device, staff wellness checklist, health questionnaire, hand sanitizer, PPE, and thermometer at table in front of exterior door ten minutes prior to staff arrival

STAFF ARRIVAL AND WELLNESS SCREENING

Performed by Site Director. Before staff arrive, Site Director should remain at the exterior check-in table ready to take temperatures and administer verbal health questionnaire upon staff arrival.

Verbal Questionnaire

Staff are required to answer these questions daily prior to entering the building:

  • Have you had fever, chills, cough, sore throat, shortness of breath or difficulty breathing, fatigue, muscle or body aches, headache, new loss of taste or smell, congestion or runny nose, nausea or vomiting, diarrhea, or a rash in the last 1 to 5 days?

  • Have you been exposed to someone who has been diagnosed with COVID-19 within the last 14 days?

  • Have you traveled in the last two weeks?

  • Have you been diagnosed with COVID-19?

If the staff answers YES to any of these questions, they will be sent home and asked to return only when they are able to answer NO to all three questions. 

If staff answered YES to the travel question, they will have the option to wait the 14 day period (while monitoring their symptoms) before returning to work OR will have to provide a doctor's note and/or negative COVID test result.

If staff answered YES to being diagnosed with COVID-19, they must provide a doctor’s note and/or negative COVID test result. *Note to supervisors - this is considered confidential health information and should not be shared with any other staff members.

Temperature Check 

Once staff passes the verbal questionnaire, the Site Director should wear gloves and take a forehead temperature of the staff member twice. Site Director to note verbal screening and acknowledgment and record both temperature readings on the intake form. 

  • If lower than 100.4 F - staff may enter the building and proceed to the hand-washing station. Site Director to note on the checklist

  • If 100.4 or higher - staff must be sent home until fever-free without fever reducing medication for at least 5 days. 

Staff must sanitize their hands before and after clocking into their shift, and all staff must wash hands upon entry into building.


Program preparation

Staff Daily Safety Briefing: Once all staff have arrived and clocked in, Site Director must lead a daily safety review of general hygiene practices, safety reminders, and any special circumstances of situations of which the team needs to be aware. 

After the Daily Safety Briefing, staff should ensure: 

  • Welcome signage is in front of building for member drop-off

  • All rooms must have a bottle of hand sanitizer and restroom doors are propped open, if applicable

  • Staff are positioned at the drop-off points with their walkie talkies, tablets, checklists, and temporal thermometers 15 minutes before first program session starts, in all necessary PPE.

Site Director should ensure the following are ready for Member Drop-Off: 

  • Sign-in checklist with verbal health questionnaire acknowledgement 

  • Medical gloves

  • Temporal thermometers

  • Disposable facemasks

  • Staff are smiling and greeting everyone

After clocking in, Program Coordinators should ensure:

  • Maximum of 9 children per program space

  • Each space has 5 tables with 1 child per table, positioned at least 6 feet apart from one another

  • Each workstation and all equipment should be wiped down with warm soap and water or disinfectant wipes 15 minutes before the first program session starts

  • Daily program schedule is updated and visibly posted 

  • Each member’s program kit is easily accessible


member DROP OFF AND wellness screening

At least two staff should assist with drop off and pick up at each site. A parent/guardian MUST be present on site for all youth under the age of 13. Staff must administer the questionnaire to the parent/guardian. If a member passes the initial questionnaire,  staff must conduct the temperature check on the youth. Parents do not leave until their child passes both of these. Youth must remain 6 ft apart at all times, while awaiting clearance to enter the building. All staff performing the screenings must be wearing appropriate PPE prior to conducting the screenings (mask, gloves, face shield and gown). 

MEMBER WELLNESS SCREENING

Performed by support staff. Before members arrive, support staff should position themselves at drop-off, ready to administer verbal health questionnaire and take temperatures upon member arrival. If in a vehicle, this questionnaire should be administered prior to the child leaving the vehicle.

  • Has your child been exposed to someone who has been diagnosed with COVID-19 within the last 14 days?

  • Have you or your child traveled in the last two weeks?

If the parent answers YES to any of these questions, the child will NOT be admitted into the program and will be asked to return when they are able to answer no to all questions. 

If parent answered YES to just the travel question, they will have the option to  wait the 14 day period (while monitoring their symptoms) before returning  OR will have to provide a doctor's note and/or negative COVID test result.

Once a member passes the verbal screening, the child may exit their vehicle for the temperature check. The youth must wait on a social distancing mark, 6 ft from other youth, while waiting to receive a temperature check. 

Temperature check

Once the youth passes the verbal questionnaire, support staff should call them up to the screening table, which will be equipped with sneeze guards, and disposable masks. The youth must put on a disposable mask at this time.  Wearing gloves, a mask, and a face shield, staff should take a forehead temperature of the member twice. Support staff to note verbal screening acknowledgment and record both temperature readings on the intake form. 

  • If lower than 100.4  F - youth may enter the building and proceed to the hand-washing station. Site Director to note on the checklist.

  • If 100.4 or higher - youth must be sent home until fever-free without fever reducing medication for at least 5 days.

Once the youth has entered the building and washed their hands, support staff will lead them to their homeroom.


SOCIAL DISTANCING AT THE CLUB

In order to reduce unintended exposure and slow the spread of disease, BGCML will adhere to social distancing practices. All staff and members must maintain a 6-feet separation between themselves and others. All assemblies and other large group gatherings will be cancelled, and program spaces will be set up to allow for a 3-foot radius around each member. 

An isolation/medical area will be set up at each club. All first aid will take place in this area, and members who develop symptoms during the day will be moved to this area until their parents can pick them up. 

Nonessential visitors will be limited within the sites. 

Measures to physically separate or create distance of at least six feet between all youth and staff will be instituted, including: 

  • Rearranging furniture to maximize the space between members. Furniture will be turned to face the same direction (rather than facing each other) to reduce transmission caused from virus-containing droplets (e.g. from talking, coughing, sneezing).

  • Mats, cones or tape will be used to designate individual spaces on the floor in rooms that don’t have tables or chairs (e.g. the gym)

  • Members will not be mixed in common areas. Members will eat meals and snacks in their program rooms, when possible.  When not possible to suspend use of common areas, schedules will be staggered to reduce group sizes, and spaces will be thoroughly sanitized between groups. 

IMPLEMENTING SOCIAL DISTANCING ON TRANSPORTATION

Should BGCML need to transport youth, we will follow the below procedures: 

  • Institute measures to physically separate or create distance of at least six feet between all

youth. This may include asking members to enter and exit the bus through rear doors, while

allowing exceptions for persons with disabilities.

  • Close every other row of seats and reduce maximum occupancy of vehicles

  • Provide physical guides to ensure that youth remain at least six feet apart while on vehicles and

at stops. For example, floor decals, colored tape, or signs to indicate where youth should not sit

will be used to guide them.

  • Install physical barriers, such as sneeze guards and partitions on transit vehicles to the extent

practicable.

  • Restrict routes between areas experiencing different levels of transmission.

  • Clean, sanitize, and disinfect frequently touched surfaces at least daily.
